Overview

Maintain business professionalism at the front desk in the Corporate Plant while providing administrative support to the sales team. Responsible for a multiline telephone system to answer incoming calls and direct callers to appropriate personnel. Greet and assist visitors. Excellent business verbal (pleasant telephone voice) and written communication.  Perform a variety of clerical duties such as typing, data entry and schedule coordination. Results-oriented professional with strong attention to detail.

Responsibilities

Sales Operations Support

  • Maintain department’s Outlook shared mailbox including distribution of faxes electronically to appropriate departments.
  • Process incoming requests for new dealer accounts by entering information into CRM.
  • Process internal forms submitted for access to dealer portal.
  • Maintain dealer pages for accounts who have changes status in Marketing portal.
  • Update and maintain customer and customer contact information in company database(s).
  • Set up new dealer accounts including Contacts and Ship To addresses.
  • Maintain and process new Ship To addresses and changes on accounts.
  • Process changes on Accounts including changes to Bruno’s subcontractor network.
  • Collate and mail sales correspondence
  • Assist with troubleshooting literature requests on Bruno’s Marketing portal.
  • Perform additional duties as assigned

Lobby/Front Desk Responsibilities

  • Verbally answer incoming telephone calls on dedicated direct local phone line (not 800#), determine purpose of calls and forward to appropriate personnel or department.
  • Answer questions about organization and provide callers with address, directions, and other information.
  • Welcome on-site visitors with appointment, job applicants, and new hires and direct to appropriate personnel
  • Monitor visitor access by overseeing sign in procedures.
  • Retrieve mail from mailbox onsite, sort/distribute interoffice mail to appropriate assigned distribution areas, run mail through postage meter and take mail to mailbox.
  • Update lobby signage
  • Order office supplies
  • Maintain the appearance of front lobby including over seasonal decorating and stock copier rooms

Qualifications

Education and Experience: 

  • High school diploma or equivalent
  • One year reception or administrative experience
  • Microsoft Office suite proficiency
  • Proficient and accurate typing skills (50 wpm)
  • Experience in Epicor ERP system and Salesforce CRM is a plus

Skills & Abilities: 

  • Read, analyze, and interpret a variety of information, such as technical procedures, business correspondence, and governmental regulations furnished in written, oral or diagram form. 
  • Create business-level written correspondence and verbally present information to internal and external customers. 
  • Requires job related software skills, MS Office and the ability to operate a variety of standard office equipment. 

Working Conditions/Physical Demands: 

 

  • Regular office environment.
  • Lift up to 30 pounds occasionally
  • While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or touch; and talk or hear.  
  • The employee is occasionally required to move around.
